MYM Recruitment are pleased to continue recruiting with one of the elite hotels in Ireland, known as one of its finest examples of the vision, splendour and elegance of the era, graced in lush green landscape. Due to demand they require a Reservations Agent to join their team.

Role in the Hotel: 

Accurate & timely handling of reservations, including individual, group & tour bookings. Updating of Avvio & booking systems regarding availability & issuing of updated rates to Front Office/Sales Staff. Greeting, receiving, welcoming and registration of Hotel Guests, maintaining their accounts and handling their inquiries. Undertaking cashiering and switchboard duties as required and to accurately complete all reception documentation to the correct company standard. Commitment to Excellence: Every member of staff is expected to ensure that the hotel guests comfort, satisfaction and well being, are catered for in a friendly, helpful, efficient and personalized manner at all times.

Main Duties: 

  • To adhere and implement all rules and policies in the property.
  • Be familiar with sales and promotional activity and upsell at every possible opportunity.
  • Answer switchboard (where appropriate) in a speedy, professional manner with an appropriate greeting. Smile – it can be heard in your voice.
  • Liase with sales/front office on a daily basis ensuring all relevant correspondence is at hand & take any reservations as appropriate.
  • Ensure that all information is entered into Visual One System in a correct and timely manner.
  • Ensure all reservations are accepted, recorded and confirmed (where appropriate) in accordance with company policy and in an efficient, courteous and professional fashion and file all correspondence accordingly. In event that your hotel cannot accommodate, pass callers details.
  • Confirm all group & tour reservations.
  • Ensure Rooming Lists are entered correctly.
  • Ensure Tour Operator Rates/Contracts are all up to date & accurate rates on all invoices.
  • Liaise with Accounts to send out timely invoices.
  • Update B&B Rates Sheets on a weekly basis & email to relevant staff.
  • Ensure the Accommodation Department is aware of all guest requests etc.
  • Ensure all cash, charge, float and till procedures are carried out in accordance with company policy. You may be held liable for payment in the event of the company suffering financial loss due to monies, short lost or stolen due to negligence.
  • Change/Close out rates as appropriate on Avvio System & any other online booking engines/3rd Party Sites.
  • Brief all Reception Team on any new rates or special offers/ VIPs etc as appropriate.
  • Provide Training for any new Reception/Reservations Staff.
  • Do Daily Competitor Checks as appropriate.
  • To carry out company’s customer relation’s policy and communicate hotel services to guests.
  • To wear clean, suitable uniform and name badge at all times.
  • To ensure a high standard of personal hygiene and grooming
  • To actively participate in any training and personal exercises designed to improve standards and performance levels.
  • Deal with guest complaints in a friendly and efficient manner ensuring guest satisfaction at all times.
